Winbiz Projects

It allows you to manage hours and activities, enabling you to analyze the gross profitability of each project.

Projects module gives access, even to small businesses, to a simple and powerful project management tool. Projects can be used as a time clock. Employees can, for example, record the time spent on an assignment with a single click. Then a supervisor can control and approve what is entered by the employees. If a job site also involves costs or purchases, these, in the form of payments or purchase invoices, can also be linked to each project. The project situation makes it possible to visualize, at any time, the gross profitability of each project. But the possibilities don’t stop there: the expected expenses and receipts are also easily displayed. The Projects module also simplifies invoicing to customers through full integration with the Sales and Purchases which are also always included in Winbiz Cloud.

Tailored to your needs

Companies of any size can use the Projects module. You can start using the Projects module as a simple time clock, and refine its use as your requirements evolve. There is no limit on the number of projects, the number of employees in the company, or the number of customers.

Time entry

Employees can enter the time spent on each project in time clock mode. It’s that simple. In addition to time, other additional services can be linked to the projects. It is possible to add expenses, such as for travel or a meal. There is also the possibility of adding items to projects as services: for example, you can add small supplies needed for a repair, or site equipment that was not planned at the start of the work. Predefined reports make it possible at any time to control the weekly hours per employee and per project, mandate or construction site.

Grouping by tasks

Tasks make it possible to group together the activities entered by employees and thus offer the possibility of managing them even more finely. It is possible to define that certain tasks are not billable. For example, you have a contractually agreed mandate that does not provide for the billing of trips. You can still enter these activities: They will not be billed to the customer, but they will be visible in the project situation. This allows you to keep your actual costs under control, even when they are not billed. You can also define minimum durations for each task or task group. For example, you are responsible for assisting customers on the phone, and your contract stipulates that each call is charged for at least 10 minutes, even if the actual duration is shorter. The minimum duration allows you to automate this process and always bill correctly.

Customisable prices

It is also possible to refine at will the configuration of the prices that will be used for the billing. A tariff can simply be specified for all employees. In other words, you charge the same price for all activities. If you need to, it is also possible to specify a rate for each employee or group of employees. In this case, you do not want to charge the same tariff for the activities of a master carpenter or accountant as for those of an apprentice or junior accountant. It is also possible to specify a pricing per task. For example, in a garage, you have configured one task for small jobs (level control) and another for a more extensive type of operation (correcting the geometry of the car). In this case you can specify different tariffs, which will also be used automatically when billing.

Customers

You do not need to create customers manually for each project. You can use the customers that you have already entered in Winbiz Addresses. In addition, since not all customers are equal, you can also specify a price per customer. This can be useful when, in order to obtain a mandate, you have participated in a call for tenders in which an hourly cost for your labour is specified and it is different from the one you usually use.

Billing

No matter what your level of use and customization of the Project module, billing is done automatically. You only need a few clicks to create Sales invoices. You can of course configure which level of detail you want to appear on the generated invoices. If, for example, you want the customer to be able to see how many non-billable hours you have spent on a project, you can do this. It’s your choice! You will then only have to send them (by mail, e-mail or even better by eBill) and wait to be paid.

Projects status

At any time, you can view the status of each project in detail. The project situation shows you, at a glance, everything that is happening in each mandate. You can see the activities invoiced, the expenditures, the advances, the invoices waiting to be paid or already paid… A clear figure tells you the gross profitability of each project. This allows you to act quickly when a project has problems.
